Event Policy

 

  1. Event Modification/Event Cancellation

The race director and officials reserve the right to reschedule, modify or cancel any or all portions of an event if weather conditions, water quality or anything else that compromises athlete safety or makes the originally planned event impossible. We will use reasonable endeavors to provide suitable methods of notice, including email, mobile phone, text message, and social media. There will be no refunds for rescheduled, modified, or canceled events.

 

In the event that we need to cancel or reschedule the race prior to race day, you will be given options that may include:

  • Using credit to sign up for another event.
  • Deferring to next year’s race
  • Transferring to another race
  • Racing virtually

 

Once the announcement is made, you can choose to exercise your right accordingly.

 

  1. Refund Policy

Since many of our costs are incurred prior to race day and are non-refundable, we do not issue refunds for events/races for any reason. Entry fees are non-refundable and are non-transferable to another participant.

 

  1. Withdraw

If you need to withdraw from a race, you have already registered due to special medical reasons, you can request in writing 30 days prior to the event day for an option to transfer or defer your entry. Please email to: info@albsports.co.th A discount code for the next event may be provided instead if the transfer or deferral is not possible. There will be no refunds under any circumstances. This policy will be strictly adhered to for fairness to all.

 

  1. Transfer

No event transfers to any other person are allowed. On-site bib pickup will require photo proof of identity. Participants who swap or sell their race number will not be allowed to race. The exchange, transfer, or sale of a bib number to any other participant is strictly prohibited. 

 

  1. Changing Race Category

We allow you to change your race category if you make a request at least 45 days prior to the race day.  There will be no refunds if you want to a change to a shorter distance.  If you want to change to a longer distance, you will be required to pay the difference between what you paid for your registration and the current price of the category you are changing to. However, if the registration has already been closed or the category you wish to change to is full, the change will not be allowed. Please email info@albsports.co.th if you wish to change your race category.

 

  1. Lost & Found
  • A participant that lost any item during the event and would like to request the organizer to send it, this request must be in writing via e-mail to info@albsports.co.th with full details of the lost item. The organizer will send it by ordinary post services. Delivery fee will be charged.
  • A participant that lost any item during the event and would like to request the organizer to keep it at the organizer’s office, for further collection, this request must be in writing via e-mail to info@albsports.co.th with full details of the lost item. The organizer will keep it for the period of 30 days after the race for its collection.
  • All uncollected items will be disposed after 30 days from the event day.

 

  1. Timing Chip Loss
  • Please be sure your timing chip is properly fixed as recommended in the Athlete Guide.
  • The participant understands that he/she must report to and return the timing chip, to the finish officials in every circumstance – even upon retiral (DNF) from the course. Charges equivalent to replacement cost will be apply for missing equipment. (2,000 THB)

 

  1. Trophy Collection/Delivery
  • If a winner of any trophy/medal/prize, etc. chooses to leave the event before the trophy ceremony and wishes the organizer to send it by ordinary post services, the participant must request it in writing to the organizer (via e-mail within 3 days after the event day or fill up the respective form at Race Control on the event day). Delivery fee will be charged for sending the item.

 

  • If a winner of any trophy/medal/prize, etc. chooses to leave the event before the trophy ceremony and wishes the organizer to keep them at the organizer’s office for further collection, the participant must request it in writing to the organizer (via e-mail within 3 days after the event day or fill up the form at Race Control on the event day).   • All awards must be claimed within 30 days after the event day.

 

  1. Waiver Condition

All registered participants must sign the event waiver form and must carefully read and fully understand its contents.

 

  1. Race Protest Process:
  • A protest is a formal complaint against the conduct of a fellow athlete, race official, or against the conditions of the competition;
  • Only an athlete, the athlete’s parents, or the athlete’s guardians are allowed to present a protest form to Race Control;
  • Protests must be filed by means of filling a form at the Race Control, signed by the Protester and submitted to Race Control within 20 minutes of the athlete’s finish or withdrawing from the race;
  • A protest fee of THB 1,000 must be paid before form submission, refundable only if the case is won. If unsuccessful, no refund will be issued;
  • To submit a protest form, the Protester must have substantial evidence, including witnesses and the Protester must be willing to take part in an interview;
  • No protest may be filed with respect to matters which were observed by or previously ruled upon by a Race Referee. No person may file a protest which requires a judgment call. A "judgment call," as used in these Competition Rules, means the resolution of a dispute involving one or more material facts that cannot be determined with certainty solely through the production of tangible physical evidence.
  • Appeals regarding athletes penalized for judgment calls will not be considered;
  • The final decision about the protest will be taken by the Race Director within 30 minutes after filing the report;
  • No appeal will be possible once a decision has been made.

 

  1. Cut-off Times:

The Participant accepts that the organizer may introduce cut off times as they think they fit. The estimated limit time taken to complete the event, or any section of the event, has been considered to ensure safety of the event. Participants may be instructed to withdraw from the race (DNF) in accordance with those cut off times.

 

  1. Disqualification:

Disqualified participants will not be eligible for any neither timing splits nor race results.
